2. Information We Collect
We collect the following categories of information when you use the Service:
a. Account and business information.
Your name, email address, business name, business address, phone number, and other contact details you provide when signing up. Information about your real estate business — target market, services, specialties, brand voice samples — used to personalize content generation. Billing and payment information, which is processed through our third-party payment processor and not stored on our servers.
b. Connected Instagram account data.
When you connect an Instagram account through Meta's official authorization process, we receive the credentials and information made available through the permissions you grant. This may include:
- Your account profile information (username, display name, profile picture, follower counts)
- Your posted content and post metadata, including captions, numerical comment counts, and other available engagement metrics.
- Permission to publish new content on your behalf when you instruct us to
We access only the Instagram information necessary to operate the features you have enabled.
Instagram / Meta Platform Data and Performance Analytics
When you authorize HIVO AI to access an Instagram Professional account, HIVO AI may receive and process Meta Platform Data made available through the permissions you grant. In addition to the Instagram information described above, this may include numerical account and media performance information such as views, reach, likes, comment counts, saves, shares, total interactions, and other performance metrics made available by the Instagram API.
HIVO AI uses this information to provide Instagram analytics, evaluate how your content performs, identify patterns in your own content performance, and improve recommendations, strategy, content ideas, briefs, hooks, formats, and other marketing-content decisions for your own HIVO AI workspace.
Instagram performance information and insights derived from it are kept specific to the customer and workspace from which the information was obtained. HIVO AI does not use one customer's Meta Platform Data or Instagram performance information to improve another customer's recommendations, and does not use customer Meta Platform Data to train a shared or general-purpose HIVO AI model.
For the performance-learning features described here, HIVO AI uses numerical engagement and performance signals. HIVO AI does not use the text of Instagram comments or Instagram direct-message content for performance learning unless a separate feature is later enabled and appropriately disclosed.
Where necessary to provide enabled features, limited Meta Platform Data or information derived from it may be processed by contracted service providers that help HIVO AI operate its analytics, automation, storage, and AI-powered features. Such processing is performed on behalf of HIVO AI and for the applicable customer's purposes. HIVO AI does not authorize its service providers to use Meta Platform Data for their own independent purposes.
Meta Platform Data includes information received directly or indirectly through Meta’s platform, together with information created from it, including derived analytics, classifications, recommendations, aggregated information, and anonymized information. Creating derived information or anonymizing information does not automatically remove it from Meta’s requirements.
HIVO AI retains Meta Platform Data only for purposes and periods permitted by Meta’s applicable terms and applicable law. HIVO AI promptly handles requests to correct or delete that data and deletes it as soon as reasonably possible when the applicable Meta requirements require deletion, including when it is no longer needed for a permitted purpose, when a customer requests deletion or closes their account, or when Meta requires deletion.
These obligations also apply to relevant information held by service providers acting for HIVO AI. HIVO AI takes reasonable steps to have those providers carry out applicable correction and deletion requirements. Any exception to deletion must be supported by applicable law or an exception permitted by Meta’s applicable terms.
You may request deletion of your Instagram and Meta Platform Data without requesting deletion of your entire HIVO AI account. Email [email protected] with the subject “Delete my Instagram data.” Include the email address associated with your HIVO AI account and the connected Instagram username. See our Data Deletion page for additional instructions.
c. Google and YouTube account data.
When you connect a YouTube channel through Google's authorization process, HIVO AI uses YouTube API Services and receives the credentials and information made available through the permissions you grant. This may include:
- Your YouTube channel information and channel identity
- Information about videos associated with your authorized channel, including video metadata
- Eligible YouTube performance statistics, such as views, likes, and comments
- Access credentials needed to maintain the authorized connection
- Permission to upload a video when you direct HIVO AI to publish it
HIVO AI uses this information to identify and manage your connected YouTube channel, prepare and publish content at your direction, provide enabled performance and analytics features, maintain and revalidate the connection, and improve recommendations for your own YouTube strategy.
HIVO AI may create its own classifications, recommendations, scores, or planning signals from authorized YouTube information. These are HIVO AI-generated insights and are not official YouTube metrics, ratings, or recommendations.
YouTube-derived performance information is kept specific to the customer and YouTube workspace from which it was obtained. HIVO AI does not use one customer's authorized YouTube performance data to improve another customer's recommendations.
HIVO AI does not send raw YouTube API performance statistics or Google or YouTube OAuth credentials to third-party generative-AI or embedding providers for content generation.
HIVO AI's use of YouTube API Services is also subject to Google's Privacy Policy: https://policies.google.com/privacy
d. Content you provide.
Brand voice documents, sample social posts, photography, videos, and other materials you upload. Approved drafts, edits, and feedback you provide to the Service.
e. Automatically collected information.
Log data including browser type, IP address, pages visited, time spent, and other usage information. Device information including operating system, device type, and screen size. Cookies and similar tracking technologies (see Section 7).
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service
- Generate marketing content drafts (captions, ideas, briefs) personalized to your brand
- Publish content to your connected social media accounts when you instruct us to
- Communicate with you about the Service, including account updates and support
- Improve and develop new features
- Detect and prevent fraud, abuse, and security issues
- Comply with legal obligations
5. Data Retention
HIVO AI retains personal information for as long as your account remains active or as otherwise needed to provide the Service, subject to the specific retention rules described below.
Meta and Instagram data: The Meta-specific retention and deletion requirements described in Section 2(b) apply to Meta Platform Data. General references elsewhere in this policy to account activity, 30-day deletion periods, backup retention, dispute resolution, or anonymization do not authorize HIVO AI to retain Meta Platform Data beyond what Meta’s applicable terms and applicable law permit.
Google and YouTube API data.
HIVO AI periodically revalidates authorization and retained YouTube API information.
Authorized YouTube statistics may be retained while they continue to support features you have enabled and while HIVO AI continues to confirm that it remains authorized to access the applicable account and information.
HIVO AI revalidates applicable YouTube authorization and retained API information on a recurring basis. Information that can no longer be validly reauthorized, refreshed, or associated with an available authorized resource is deleted or excluded from active use under HIVO AI's data-lifecycle procedures.
HIVO AI-generated analytics or recommendations that are derived from YouTube information remain subject to the applicable YouTube data and authorization lifecycle when they are identified as YouTube-derived information.
When you intentionally disconnect Google or YouTube through HIVO AI, HIVO AI immediately disables the active connection, clears the active stored credentials used to access that account, and begins the applicable removal process for Authorized Data associated with that consent.
Temporary processing copies that may exist while an authorized action is in progress are removed under HIVO AI's controlled deletion lifecycle and applicable Google requirements.
When Google authorization can no longer be confirmed through Google's own authorization system, HIVO AI stops using affected YouTube API data and processes that information under the applicable Google deletion requirements.
Full HIVO AI account deletion.
When you delete your HIVO AI account or submit a verified full-data-deletion request, HIVO AI deletes or anonymizes personal information from its active systems within 30 days, except where a shorter platform-specific requirement applies.
Secured backup copies may remain for up to 90 additional days before deletion or anonymization where permitted.
HIVO AI may retain limited information where required by law, necessary to resolve disputes or enforce agreements, or where the information has been anonymized so that it can no longer identify you.
6. Data Security
We use administrative, technical, and physical safeguards to protect your information, including:
- Encryption of access tokens and sensitive credentials at rest
- HTTPS encryption for all data in transit
- Access controls and authentication on our systems
- Regular security reviews of our infrastructure
Google and YouTube credential storage.
Google and YouTube OAuth access and refresh tokens are stored in HIVO AI's Supabase Postgres database and are encrypted at rest. Tokens are transmitted only through secure HTTPS connections.
HIVO AI's n8n automation system processes these tokens only when needed to perform actions authorized by the customer. n8n is not the permanent storage location for these credentials. Google and YouTube OAuth tokens are not stored in GoHighLevel.
Access to stored credentials is restricted through authentication and access controls. When you disconnect Google or YouTube, HIVO AI immediately disables the active connection and clears the active OAuth credentials used to access that account. Temporary processing copies are removed under HIVO AI's controlled deletion lifecycle and applicable provider requirements. Credentials and related information associated with full HIVO AI account deletion are handled under Section 5, Data Retention.
No method of transmission or storage is 100% secure. We cannot guarantee absolute security but we work continuously to protect your information.
8. Your Rights and Choices
Depending on your location, you may have the following rights regarding your personal information:
- Access: request a copy of the information we hold about you
- Correction: ask us to correct inaccurate or incomplete information
- Deletion: ask us to delete your information (see our Data Deletion page for instructions)
- Portability: request a portable copy of your data
- Objection or restriction: object to or restrict certain processing
- Withdraw authorization: Disconnect YouTube through Settings → Connections in your HIVO AI dashboard, or revoke Instagram authorization through Instagram’s Apps and Websites settings. See the Instagram instructions below and our Data Deletion page.
Revoking Instagram authorization
You can revoke HIVO AI’s Instagram authorization through Instagram’s Apps and Websites settings. The connected app may appear as “Prop AI Social-IG,” the name displayed during Instagram authorization.
Follow the Instagram removal instructions on our Data Deletion page. Revoking authorization does not itself delete information already held by HIVO AI or content already published to Instagram. You may separately request deletion of your Instagram and Meta Platform Data without closing your entire HIVO AI account.
Disconnecting Google or YouTube.
You may disconnect a connected Google or YouTube account at any time:
- Sign in to your HIVO AI dashboard.
- Open Settings → Connections.
- Select Disconnect beside the account you want to remove.
HIVO AI immediately disables the connected account, clears the active OAuth credentials HIVO AI uses to access that account, and initiates the applicable deletion process for Authorized Data associated with that connection.
After disconnection, HIVO AI will not initiate new access to the disconnected account or publish new content to it unless you complete a new authorization.
Temporary processing copies associated with an action already in progress are removed under HIVO AI's controlled deletion lifecycle and applicable provider requirements.
Content already published to YouTube is not deleted merely because you disconnect HIVO AI.
You may also revoke HIVO AI's Google authorization directly through your Google Account security settings at: https://security.google.com/settings/security/permissions
Requesting data deletion.
To request deletion of your HIVO AI account and stored personal information, email [email protected] with the subject line "Delete my data." Include the email address associated with your HIVO AI account and your business name.
HIVO AI will respond within five business days and complete deletion from active systems within 30 days after confirming the request, except where a shorter platform-specific requirement applies. Additional information is available on our Data Deletion page.
For any other privacy request, email us at [email protected]. We will respond within 30 days.
For California residents. Under the California Consumer Privacy Act, you have additional rights, including the right to know what personal information we collect, the right to delete it, and the right to opt out of any sale. We do not sell personal information.
For EU and UK residents. Under the General Data Protection Regulation and UK GDPR, our legal basis for processing your personal information is (a) the performance of our contract with you, (b) your consent for specific processing activities, and (c) our legitimate interest in operating and improving the Service.
9. Children's Privacy
The Service is not directed to children under 18, and we do not knowingly collect personal information from children under 18. If you believe we have collected information from a child under 18, please contact us and we will delete it.
10. International Users
HIVO AI is based in the United States. If you use the Service from outside the United States, your information will be transferred to, stored in, and processed in the United States. By using the Service, you consent to this transfer.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or through a notice in the Service before the change takes effect. The "Last Updated" date at the top of this policy reflects the most recent revision.
